Pausing or Freezing Your Membership
Can I pause or freeze my membership?
Yes. We offer membership freezes in genuine circumstances.
How long can I freeze my membership for?
Freezes are available for a minimum of 1 month and a maximum of 4 months. Note: Any discount code you may have used, will come to an end.
What situations qualify for a freeze?
We may approve freezes for:
- Long-term overseas travel (£10 flat fee applies)
- Injury or surgery
- Bereavement
- Serious personal or difficult circumstances
Each request is reviewed individually and handled with discretion.
Can I pause my membership for a holiday?
No. We do not freeze memberships for short holidays or general time off. As a small independent gym, we still have ongoing costs, wages and bills to cover.
How do I request a freeze?
Please email bookthegym@gmail.com with your reason and preferred dates. We’ll respond as quickly as possible.
Will I be charged during a freeze?
Approved freezes suspend billing for the agreed period. Your payments will resume automatically when the freeze ends. Any discount code applied will cancel.
Can I cancel my membership?
Month-to-month memberships can be cancelled with 10 days’ notice. A term upfront payment renewal requires notice and can be done with 10 days notice.

Upfront discounted contracts are non-refundable and cannot be paused, as per the terms laid out to you when you signed up to the upfront discounted package.
Do I get a refund if I cancel?
No. Membership fees are non-refundable once paid. You are entitled to complete your subscription.
You may find that another payment could be due if you haven't given us reasonable i.e. 10 days notice. We cannot react as a bank, only use the products and services they supply and the timescales they provide.
Do class packs expire?
Yes, each pack has a different expiry allowing us to provide services at a reasonable costing.
Membership & Payments

Do I need to accept a waiver before joining?
Yes. All members must review and accept our training waiver before purchasing a membership. By joining and using the gym, you agree to these terms.
How do I pay for my membership?
Memberships are paid monthly by Direct Debit or by Card.
If a payment is missed, your membership will be suspended. A £20 missed payment fee applies.
Can I transfer my membership to someone else?
No. Memberships are non-transferable.
Access & Check-In
Do I need to check in when I arrive?
Yes. All members must check in on entry. Failure to do so may lead to termination.
Can I share my access code or fob?
No. Sharing access is strictly prohibited and may result in immediate cancellation and cost recovery.
Is the gym supervised at all times?
No. Outside office hours, though we are usually at site the gym is not fully supervised. Members must train responsibly and safely. You will be viewed on CCTV.
Training & Usage
Can I train without an active membership or pass?
No. You must have an active contract, pass, or prepaid package to train.
Non payment will be viewed as shoplifting by our staff. Passes must be bought from the counter first.
What if I train during a freeze period or before my start date?
Standard payment terms still apply, you will need to buy a pass.
Are there time limits on equipment?
Yes. During busy periods, cardio equipment is limited to 20 minutes per user.
Do I need to bring a towel?
Yes. If you expect to sweat heavily, you should definitely bring a towel and wipe equipment after use.
Equipment & Facilities
How should I treat equipment?
Use equipment properly and return it after use. Report any faults immediately.
Are there rules for the free weight area?
Yes.
- Wear appropriate clothing
- Use collars on bars
- Do not drop weights
- Use safety bars when training alone
- Return all plates and dumbbells
- Wipe equipment after use
Can I use machines however I like?
No. Machines must only be used for their intended purpose. It is your responsibility to ask for guidance on it's correct use.
How should I leave changing rooms and toilets?
Clean and ready for the next member.
Can I just use the showers?
No. Facilities are for post-workout use only. Misuse i.e. as a stand in bathroom, van living or camping will result in instant termination.
Behaviour & Conduct
What behaviour is not allowed?
We do not tolerate:
- Harassment or offensive behaviour
- Loud or disruptive conduct
- Unsafe training
- Inappropriate language
- Misconduct toward staff or members
- Impromptu group training
- Dropping weights and clanking Selectorized machine plates.
This may lead to suspension or termination.
Am I responsible for my guest’s behaviour?
Yes. Members are responsible for anyone using their guest passes.
Is smoking or vaping allowed?
No. Smoking and vaping are prohibited on all club property.
Clothing & Hygiene
What should I wear?
- Clean trainers & clean clothing required
- No workwear, jeans, boots, stringers, or bare chests permitted
- No dirty or sandy trainers. Do NOT enter the club in dirty foot wear.
- Clothing must be suitable for training
Cleaning fees of £55 may apply if rules are ignored.
Under 18s & Junior Training Policy
Do you allow under 18s to use the gym?
Office Gym Club is primarily an adult training environment and does not operate as a junior or youth facility.
Is the gym DBS checked?
No. We do not operate as a DBS-checked facility and do not provide supervised childcare or youth supervision services.
Can a minor train at the gym?
Yes, in limited circumstances. A parent or guardian must hold an active membership and may sign up a minor to train only when accompanied by a responsible adult or older sibling at all times.
Can children be dropped off to train alone?
No. Under no circumstances may a child or minor be left at the gym unsupervised. We do not provide supervision or childcare services.
Why do you have this policy?
We are a quality, professional club designed for focused adult training. Our equipment, training environment, and culture are built around serious fitness and personal development.
What happens if this policy is not followed?
Failure to follow this policy may result in suspension or cancellation of membership without refund.
Personal Training & Business Use
Can I bring my own personal trainer?
No. External trainers are not permitted. OGC has qualified in house people.
Can I promote my business in the gym?
No. Commercial activity, advertising, or client recruitment is prohibited. Non-disclosure is not an option. Any illegal activity will be reported to the police.
Filming & Photography
Can I film or take photos in the gym?
Yes, you may use a tripod to log your workout.
If other members are present. with permission and without including other members.
Professional equipment requires approval.
Can I post content with other members in it?
Only with their consent.
Online harassment or derogatory remarks will result in immediate termination/ legal action.
Safety & Liability
Is CCTV in use?
Yes. CCTV is used for security in line with regulations.
Should I tell someone if I train alone?
Yes, especially during unsupervised hours.
Am I responsible for my own safety?
Yes. Always train within your limits. Never lift more than you are capable of.
Is the gym responsible for lost items?
No. We are not liable for personal belongings. Parking is also at your own risk.
Parking & Amenities
Is parking free?
Yes, while using the gym ONLY. Unauthorized parking incurs a £30 daily fee.
Is drinking water available?
Yes, but bring your own bottle. A bottle is available for purchase and drinks are available from the fridge. Mixing protein in gym or showers is not allowed.
Are animals allowed?
No, except registered service animals.
Enforcement
Can my membership be cancelled?
Yes. Serious or repeated rule breaches may lead to suspension or termination without refund.
What if I damage equipment?
Though unlikely, you may be charged for repairs or replacement.
